MHS GENESIS Electronic Health Record workshops held at Naval Hospital Bremerton

Overlapping workflows, patient pathways, and open portals were some of the demonstrations on display at Naval Hospital Bremerton (NHB) as part of the strategic implementation of the new Military Health System (MHS) GENESIS electronic health record (EHR).

As one of the major military treatment facilities to implement the Department of Defense’s (DoD) MHS GENESIS EHR, NHB hosted a week-long model system review for hundreds of staff members with multiple workshops, April 18-22, 2016.

According to Cmdr. Rolf Schmidt, NHB’s Department of Anesthesia and Navy Anesthesia Recording and Monitoring Device (ARMD) Program functional manager and chief medical informatics officer, the week-long event was not actual training per say, but a demonstration of the future state for military health system utilizing the new MHS GENESIS tool. The actual training is slated to begin in the fall in preparation for a 2017 go-live date.

“The staff are starting to understand the amount of change coming other than just a new EHR. The way we do business will change, some people's daily duties will change, all based on new more efficient workflows being introduced this week. There has been lots of positive comments from the staff on how much more efficient the new system will be compared to the layered systems we currently use,” said Schmidt.

MHS GENESIS replaces multiple electronic medical records already in place like AHLTA, Essentris®, CHCS and TMIP (clinical) with one integrated system. The goal is to streamline the workday for doctors, nurses and hospital corpsmen in caring for their patients by eliminating double order entry and double documentation.

The week-long workshops showcased how inpatient, outpatient, dental, operational medicine, VA and private sector patient information will become available in one place under the EHR with the new technology in all the clinical and business departments and directorates.

“I thought the week was beneficial. We got to see several workflow processes, from scheduling and registration to ambulatory care to referral management. Being able to see the product and give input in places was a good exchange that went back and forth. That was beneficial because the feedback and questions went both ways. Good exchange of thoughts and ideas,” said Eli Fale, NHB referral coordinator.

The Defense Health Management Systems (DHMS) Program Executive Office has been planning and organizing the single, combined MHS GENESIS EHR that will support the delivery of efficient patient-centered care. MHS GENESIS is being designed to keep pace with medical advances and innovations in technology to support the mission of continuing to deliver high-quality health care to beneficiaries, as well as provide an accessible system for all those using it.

“It will be really nice to have everything in one system and at your fingertips,” added Fale.

The goal for NHB and the other locales implementing the new system is to sustain the continuous process improvements, shared lessons learned and continue the relationships with the clinical and business users even past the full deployment of the new system.

“The week really was hundreds of little office meetings with individual process owners. Those process owners were shown their new workflows on computer for this visit,” said Senior Chief Hospital Corpsman Kevin “Des” Edwards, Navy Medicine MHS GENESIS Implementation Detachment Pacific Northwest Compliance Evaluation project manager.

Along with NHB and its Branch Health Clinics Everett and Bangor, the new system will also be featured at Naval Hospital Oak Harbor, Madigan Army Medical Center, Puyallup Community Medical Home, and Fairchild Air Force Base Clinic.
