    The General Equipment Inventory Team at Naval Surface Warfare Center, Philadelphia Division (NSWCPD) has recently developed electronic inventory sheets, which utilize a bar code scanning system, allowing for more efficient and accurate inventory management tracking across the Warfare Center community.

    The new system, known as Inventory Sheet Automation, utilizes a Navy Marine Corps Intranet (NMCI) tablet and scanner to electronically complete the requisite inventory sheets. The use of a barcode scanner to automate the input of inventory management data reduces inventory time by 60 percent while also reducing risk of human error.

    “By using the automated inventory sheet and barcode scanning equipment, it made it possible for the General Equipment branch to reduce the error rate as each asset is recorded in Enterprise Resource Planning (ERP) and reduced the time to maintain/validate each record during an inventory cycle,” said Matt Kendall, NSWCPD’s General Equipment branch head.

    The general inventory list is a collection of all of the Command’s assets, from laptops to large test facilities – everything that employees use to complete the mission every day.

    Traditionally, general inventory lists are collected via paper inventory sheets and verified by hand with a pen; NSWCPD’s team created a more efficient system by fully digitizing the new system. Now when a team enters a space to conduct inventory, they scan the barcode on each asset. The tool automatically populates an excel spreadsheet with all pertinent information. At the end of the day, the spreadsheet is bulk uploaded into ERP to officially record the inventory actions of the day. Previously, each inventory action needed to be hand entered into ERP.

    “When we go to a building and do a sweep we can immediately compare what was collected against the master list,” said Kari West, NSWCPD’s Container Control Officer within the General Equipment branch. “This helps speed up the process and introduces fewer errors.”

    The old way to collect and verify General Equipment inventory was a nine-step process that included sending out the inventory team to compare the collected data against the master list; the new system only requires five steps.

    Last year, each NSWCPD General Equipment Inventory team was able to collect and verify 7.3 assets per day; this year that number has jumped to 30.3 assets per day. Previously, data entry took 6.4 minutes per asset; this year the number has been reduced to 0.3 minutes per asset. This year, NSWCPD’s General Equipment team was able to collect data from 2,900 assets in the first month compared to only a few hundred in previous years.

    NSWCPD is collaborating with all the other Warfare Centers to standardize this approach prior to the Navy Material Accountability Campaign inventory audit deadline in June.

    “As more Commands come on board, the process is only getting better,” West said.

    NSWCPD employs approximately 2,700 civilian engineers, scientists, technicians, and support personnel doing research and development, test and evaluation, acquisition support, and in-service logistics engineering for Navy ships. NSWCPD is also the lead organization providing cybersecurity for all ship systems.
